SJSL SPRING 2008 – GUIDELINES

·        All games will be played as scheduled: time & place.

·        All changes must be submitted and approved by the games commissioner.

·        Requests from both coaches to reschedule any game must be submitted no later than Wednesday 8pm to the games commissioner for review. E-mail please so confirmation can be sent. If you are the 2^nd game scheduled and there is a game at 3:30, the home team must contact 3^rd game coaches to move game into your time slot. Empty game slots will result in referee fees being assessed to the team initiating the reschedule.

·        Rescheduled game date must be submitted to games commissioner within 2 weeks of approved cancellation and at least 3 days notice with time and place. Any games not played will be considered forfeits. 

·        All game results must be reported online by noontime the following day. Do not call results in. No exceptions. Repeated lateness may result in a game suspension.

·        Failure to report your score online, late reporting of your score or using unknown referee will result in fines based upon SJSL Rules & Regulations.

·        All problems reporting results should be sent to sjslio@verizon.net.

·        These guidelines are in place to help with the accurate recording and timely completion of standings for the Spring-08 season. Failure to comply with these simple guidelines will result in fines issued by the games commissioner.

INCLEMENT WEATHER PROCEDURES

8:00 - 8:50 am:  Commissioner makes decision to "Play Ball" or moves the weeks schedule to a new week or cancel all games. Cancellation means there are no make-up games. Club rep's check their field conditions - if fields are unplayable, they are to immediately email the games commish. Clubs which have NOT notified the games commish by 9 AM will be assumed that their fields are playable.

8:50 - 9:00 am: Commissioner notifies all SJSL executive board members and assignors of decision.

9:00 - 9:30 am:  Club reps are emailed decision to close the league (both for moving games to a new week or full cancellations). If the league is playing, no email will be sent. Decision will also be posted on website.

If the league is NOT playing, club reps call their coaches and coaches call their teams to insure full notification.

If the league IS playing:  Club reps check their fields and make a decision as to playability. If fields are unplayable: or going to be unplayable or games are being moved to an alternate site, club reps must contact assigned referees & games commissioner first, by 9:00. Then club reps are to call their home team coaches. PLEASE tell your home team coaches  to call the opposing team coach immediately.  All coaches then call your players. There can be no deviation of this procedure!

REFEREE CONTACT

Contact by the referee’s assigned to your clubs fields to your club rep is mandatory. This contact should be done by Friday night, some referees are not assigned or are changed last minute, but contact is still necessary.

IF NO REFEREE HAS MADE CONTACT, I WANT TO KNOW.

RESCHEDULED GAMES PROCEDURES

Rescheduling of Games: Games will not be rescheduled after 8:00 pm Wed night, notification must be sent by then. Contact must be made to the commissioner and opposing teams coach by this deadline.

      Game time changes are considered re-schedules.

      Notification being sent does not guarantee approval. Approval to reschedule will only be given for appropriate reasons. These reasons being appropriate to the commissioner and SJSL, in consideration of all parties involved.

      ALL fees or fines incurred shall fall to the coach requesting the cancellation.

      Changes made without approval will be considered forfeits.

Coaches Communications: Coaches should communicate between themselves as to best days and times for possible re-play. Establish a list of possibilities. This step to be done within 2-3 days of cancellation. Field Reservation - home coach contacts their clubs field coordinator to check availability and establish a set field and time. Or start a list of available dates/times from coordinator to check with opposing coach and be decided on. Do this immediately after talking to opposing coach, within 2 days.

Commissioner Contact: relay via e-mail, information as outlined below to games commissioner at once upon confirmation and agreement. Commissioner needs at least 3 days advanced notice of game to schedule referee coverage. All reschedules need to be scheduled within two weeks of cancellation and played before season ends.

Report Reschedules Like This:
Date of game - V-team# - H-team# - where - time - H-coach name & phone# - reason for game
Example:
9/25 3066 at 3065 Mt. Laurel - Laurel Acres field #4 5:00 Bill Butthead 609-888-1234 Reschedule of 9/4 rainout

If both coaches cannot agree on a make-up date/time of a rescheduled game within 14 days, at least communicate with the games commissioner where you're at! If an amicable reschedule is not found, commissioner will then pick date, time and possible location – this will then become a mandatory/final reschedule date for both teams. Communication is the key, keep in touch with games commissioner and the two week period may be extended.

 During a games commissioner’s season, he receives hundreds of emails each week, every week! Please understand that emails from anyone other than the listed coach, club rep or established contact person will usually not be responded to. If someone other than you wants or needs to contact me, that’s fine but have them send it to you first, then forward it to me upon your approval. You are ultimately responsible for your team.
